Intelligence360 provides powerful real-time reporting capabilities. We've tried to make it easy to find exactly what you need, and what's easier than selecting what you need from an existing list? Picklist filters allow you to view a list of configured options relative to a selected property and choose which you want to see on a report and which you don't; you can select all options, a single option, or just a few. Picklist filters are based on properties whose type is called String and displayed in a selectable list. This document walks through how to use InsightSquared's picklist filters.
Filter by Picklist
If you have added a picklist filter to a report, you'll see a populated list based on that filter property that allows you to select one, some, or all options to show on a report.
(If you're filtering a property with a property typed listed as String and seeing a searchable text bar rather than a list of options, you're using a Text filter.)
For example, let's say you want to add a column to a report that shows only opportunities that are currently in the Negotiation stage of your sales process. You would add the Stage Name filter, which will produce a list of the stage names in your process and allow you to select Negotiation, and unselect all other stage names. Then you decide you also want to see opportunities that are in Demo; simply open the filter pill dropdown or the filter section of the report editor and select Demo in addition to Negotiation to have the report interactively adjust to include opportunities in only those two stages. Click Apply and check out only the information you want to see!
Let's see the example above in action:
-
Open the Stage Name filter
-
Ensure only Negotiation is selected
-
Click Apply to see only opps in the Negotiations stage
-
Open the filter again, Ensure only Negotiation and Demo are selected
-
Click Apply and see only the opps that are in the selected stages appear in the report.
So, what can I select in a Picklist filter?
-
Selecting all options in a picklist will return content for all of the options in the filter and label each option in that column of the report.
-
Selecting no options (or leaving all options unselected)...also shows everything! However, you cannot leave all options unselected in a filter pill (you actually cannot, it won't let you), this is only possible when editing the filter in the editor.
-
Selecting some options will return only content for the selected options and will label each option in that column of the report.
-
Selecting one option will return only content for the one selected option, a label will still appear in that column of the report, but it will be the only label.
-
Missing will return items with no value for that filter property.
Examples
Below are some other common String Picklist filters. The functionality of using the picklist filters will remain the same, but the options will change per property.
-
Stage Name (Opportunity)
-
Owner Name
-
Forecast Category
-
Type
-
Owner Regions
-
Opportunity Products
-
Attendee Name (Meeting)
-
Status (Lead)
Where does the filter information come from?
While the filters might seem like magic, they are actually based on property mapping! Whether a property was mapped in from your CRM or you added a custom property from Salesforce or Hubspot , they all have a specific property mapping configuration that tells the Platform where to get the data and what to do with it. You don't have to look at this just to use a filter, but it's always nice to know where this "magic" data comes from!
To view a property's mapping configuration:
-
Click Applications and select your CRM
-
Select Content Settings at the top of the page
-
Select the Content Policy that houses the property you're looking for. (For example, opportunity stage names are under the "Salesforce Opportunities" policy.)
-
A right drawer will open for that policy, select Content Properties tab
-
Hover over a property to show the "edit" option, click edit.
What determines the filter type:
-
The Property Label will match the filter name. (Ex. Stage Name)
-
The property Type determines the kind of filter that will be produced (you can read more about property types in either of these Salesforce or Hubspot articles).
-
Picklists are a String property, so you'll see String for this type of filter.
-
-
Output Display Format determines how the data is shown, the Output Display Options are determined by the Property Type selected above.
-
Default Formatting will display the data as it's displayed in the CRM from which it was mapped. In this case, the data will display as a Picklist with no extra effort on your part! Thanks, property mapping!
Note: You see where it actually says Picklist under ML data type? That's telling Machine Learning what to do with the data and doesn't apply to every property or affect the filter, so don't let that trip you up here.

Read Property determines where the Platform will find this information in the CRM from which it was mapped. [Stage (Stage Name)]
The red arrows below show each of the above fields in a property map that play a part in determining the filter type and its data:
