Zoom users with InsightSquare Conversational Intelligence can use Notetaker!
Everything you need to know
Once the Zoom integration goes live on your platform or you sign up for the first time, Zoom meetings will start to be recorded, analyzed, and transcribed into the InsightSquared Conversational Intelligence (IS2 CI) Platform. This will provide you with more opportunities to learn, self-coach, and share customer conversations with your teammates. The integration also means it will be easier to log to your CRM! 🙌 Read below for all you need to know about the integration, how it benefits you and how it works.
What do I need for the Notetaker integration to work?
Non-Admins
The integration will be enabled by your Organization Admin, but you will need to adjust some Zoom settings to ensure the notetaker bot works its best!

Disable "Enable Personal Meeting ID"

Disable "Only authenticated users can join meetings"
Admins

Admins also need to complete the two Zoom Settings adjustments above ⬆

Install Zoom Integration in IS2:

Go to Conversations in the left-hand menu of IS2

Click Settings in the top right corner

Under Integrations, Search for Zoom and click Install Integration (In the screenshot below Zoom is already installed)

Important note: Insights licenses would not be able to record meetings and stream them to IS2 CI.
How can I be sure that my Zoom integration is working?
You will notice that there will be a participant in your meetings called Notetaker, which can be customized & branded to your company. To adjust the Notetaker bot's name:

Go to Settings in your IS2 CI portal

Click Recordings

Click on the listed Bot Name and enter your own, custom bot name (Below you can see that we use "IS2 Conversations".)


Which Zoom meetings will be recorded?
Only the meetings that are scheduled in your calendar will be recorded. You can also control which one of them you want to record or not from your Dashboard at any point in time. If you have internal recording turned off, the Notetaker will only join scheduled meetings that have someone external joining (i.e not with your company email domain).
*Once you sign up we will look forward and import your next 30 days of meetings into IS2 CI for you!

How should I schedule my meetings?
This is super simple, just schedule a meeting in your Calendar like normal and make sure your Zoom meeting details are added. Then the IS2 CI Notetaker will join at the scheduled start time of the meeting. To make sure there's time to import to your IS2 CI Dashboard to be automatically recorded, your meeting should be scheduled a minimum of 15 minutes before,
Pro tip: If a meeting isn't scheduled 15 minutes in advance or is outside of your org, click here to learn how to invite Notetaker to your meeting in the moment!

How do I stop recording?
While your meeting is in progress:
During the meeting, you can stop recording anytime by removing Notetaker as a participant from the meeting. Please note that if you remove the Notetaker, the recording would be stopped and deleted.
Turning off my recording permanently:
This is controlled in your IS2 CI profile (Settings >Recordings). Just go to recordings to toggle recording off.
*Please note this option is exposed and controlled by your IS2 CI admin.
When will my recording appear in IS CI?
The time can vary depending on the duration of the meeting, but you'll likely see the meeting fully analysed in IS2 CI around 30 minutes after it has ended. We capture the recorded audio, video, screen sharing, and transcribe the meeting. You'll have access to all the coaching tools and analytics too!
How does the integration help me log my Zoom Meetings?
What about instant meetings?
Currently, we do not support Instant meetings, meetings need to be scheduled in your calendar for us to record and analyse.
Can I uninstall the integration?
This can be removed in the organization settings by any IS2 CI admin or owner.
What if the Zoom Notetaker is not joining?
Remember, in order for the Notetaker to join the meetings we'll need "Only authenticated users can join meetings" setting to be turned OFF in the Zoom Settings! The Zoom Admin could lock this setup on an account level for all users.
