Intelligence360 provides the ability to generate actions for users. It also allows complete automation of steps in your sales process or data entry and sync. This guide walks through the different options available for complete automation, how it works, and key considerations.
Every action comes with the following section:
(Note: This does not include instant actions.)

In a typical deployment you would see these options in use for:
-
Automatic contact creation
-
Activity Sync to the CRM
You might also use this for things like:
-
Automatically closing stale opportunities more than a year old with no activity
-
Identifying data exceptions (contacts with emails that bounced in prospecting status)
-
Setting a default amount on a new opportunity
-
Automatically generating a new opportunity based on a deal closing
-
other data hygiene/automated process steps not possible through process builder
Since actions don't have the same 50 limit that SFDC has for workflow steps, they can be a viable replacement for certain use cases.
So how does it work?
Intelligence360 updates the "context" of a record every time an event occurs. This is any related activity or a CRM record updated directly. There is also a background process that updates every record every few days just in case.
-
Real time (process a data change within minutes)
-
Background (every few days to check and make sure things are up to date)
Let Intelligence360 automatically complete this action

Every context refresh checks if actions are available for a given record. Normally this would generate a form to present to the assignee of an action, but if "Let Intelligence360 automatically complete this action" is checked, we'll try to automate it.
Note: With only this setting checked, a user will need to "opt-in" to the action completing on their behalf.
Always: Let Intelligence360 complete this action with no opt-in required

If "Always" is selected, it removes the per assignee opt-in and completes the work for a single assignee when possible. There are several reasons for why this wouldn't complete automatically:
-
There is more than one assignee!!!! - Automation only runs once, for one person in this configuration. More than one assignee requires a person to pick who to run the automation as.
-
The form doesn't completely generate - Automation requires the entire form to populate, this is a protection against runaway automation, we don't want dirty data in your CRM because there was a mistake in config!
-
There isn't an active connection for the current assignee - We run actions as the assignee so they get credit for the activity, if there isn't an active connection we'll hold the action, but it won't complete. This also covers if the assignee is not a platform user.
Multiple Assignees: Let Intelligence360 complete this action, with opt-in, for each audience member

If "Multiple Assignees" is selected, the per assignee opt-in is removed and it will complete for each assignee. This can be important in activity sync use cases where it's important to give activity credit to each team member who participates in a meeting for example. There are still reasons for why this wouldn't complete automatically:
-
The form doesn't completely generate - automation requires the entire form to populate, this is a protection against runaway automation, we don't want dirty data in your CRM because there was a mistake in config!
