Intelligence360 tracks activity and engagement levels by gathering multiple types of content, including emails. Pulling opportunity-related emails into activity tracking provides insight into the deal, allows for cross-functional participation, and helps you keep track. But that doesn't mean every email you write is available for team or public consumption. Intelligence360 provides multiple privacy settings for you to choose from.
To access your Email Privacy settings:
-
Go to Settings > All Integrations
-
Select the application for your email provider, for example, Google/Gmail users will open the Google.com app.
-
Click the Content Settings tab then select the Content Policy applicable to your email, for example, Google users will select Gmail.
-
In the content policy window, under the Policy tab is a dropdown menu for your privacy settings beneath the name of the content policy, for example, Gmail.
So which do you choose? Email settings differ from other content types in i360 in that their privacy settings only affect what's searchable. Other content types are based on group content authorizations and if an email is linked to one of those content types, let's say an opportunity, the email will be available to anyone with authorization to that opportunity. But what about the emails that are NOT associated with other content? That's where email privacy settings come in.
Will remain private - This is the default setting in the Platform. Only you can search for your emails. That email from your dentist? It's not associated with an opportunity, it won't show up in a report, therefore, no one else could see it.
Will be shown to authorized users - Since emails are treated differently than other content types, they don't have email-specific authorized users, so selecting this choice would return nothing in a search, not for you or anyone else.
Will be shared with your team - Your team can search for your emails, even the one from your dentist.
Will not be shown to anyone - "Not shown to anyone" includes you, selecting this option just won't pull your emails for searches.
5. Once you've selected a privacy setting, click finalize.
